Who should purchase exhibitor space?

Exhibitor space is great for:

  • authors
  • publishers
  • agents
  • editors
  • photographers
  • book cover designers
  • web designers
  • PR firms
  • crafters — jewelry, apparel, art, etc.
  • Any service or business that would benefit from the enthusiastic reading and writing community of contemporary, romance, and supernatural books and films.

Legal stuff:  There will be no reselling of space to other authors or vendors. ALL SALES MUST GO THROUGH UTOPiA. Aside from the fact that reselling is considered “scalping” by official channels, it truly gets way too confusing, so this is non-negotiable. Go through proper UTOPiA channels with any questions or concerns. We will continue to do our best to support your needs.

Signing + Exhibitor Hall

Friday, JUNE 23 & Saturday, JUNE 24

We will be selling WHOLE tables (six feet). TWO chairs come with the purchase of full booth space. It is YOUR responsibility to let us know who will be using those tickets so that they can be officially registered in the system.

We will be selling 1/2 tables (three feet) with ONE chair.

While the venue fee and electricity fee is included in the price, you MUST let us know if you need electricity when reserving your space.

WHAT YOU GET:

If you buy 1/2 table, you get 1 chair = one General Admission ticket (if you already bought a ticket, you must request a refund for the ticket before March 31, 2016).

If you buy a whole table, you get 2 chairs = two Silver Package Admission packages (if you already bought a ticket, you must request a refund for the ticket before March 31, 2016). It is YOUR responsibility to let us know who will be using those tickets so that they can be officially registered in the system.

  • You may sell merchandise & giveaway swag — “MERCHANDISE” INCLUDES BOOKS.
  • Exhibitor Widget/Badge for your web site
  • Featured in official UTOPiA 2016 informational materials, either online or in print.
  • Volunteer help to load-in, load-out
  • Promotion in social media posts
  • Eligible for prizes in the UTOPiA 2016 Exhibitor Contest: winners will be voted on by the attendees atUTOPiA 2016 and prizes will be given to winners at closing ceremonies the morning of Sunday, June 26, 2016. Prizes awarded for:
    1. Best decorations
    2. Best swag
    3. Best solo booth
    4. Best shared booth
    5. BestUTOPiA 2016 REVOLUTION-themed booth

You can request to be paired to share a table with a friend if that friend has also purchased 1/2 a table. We will not hold any space. However, there may arise a situation where you will share a table with — gasp — a stranger. I hope you’ll see it as an opportunity to make a new friend and collaborate to kick butt for an Exhibitor Space prize.

SATURDAY-ONLY EXHIBITOR SPACE

WHAT YOU GET:

This is a first come, first served situation. If you know you want to be an exhibitor, do not wait. The tables will be gone.

TABLE SIZE

The tables are 6′ long / 30″ wide / 3′ tall. If you purchase a half table, you will split that space with another person. Linens are provided.

REFUND POLICY: Full refund for 60 days from purchase. 50% refund available between 61-180 days from purchase. No refund available after 180 days from purchase..

 

TENNESSEE TRANSIENT VENDOR LICENSE

A person/business selling or offering to sell new merchandise to the public on temporary premises and does not have a permanent, fixed location in Tennessee where the business is conducted is considered a transient vendor. A transient vendor can be both a Tennessee resident or an out of Tennessee resident. Prior to the event date, a transient vendor is required to obtain a 14-day permit from this office to conduct business in this county and/or city. If the permit expires prior to the scheduled ending date, then a new permit must be obtained for an additional 14 days. If the temporary site is located in the Urban Services District (USD) then the permit fee is $112.00. If located in the General Services District (GSD), the permit fee is $57.00. Application for Transient Vendor License

Examples of businesses requiring a transient vendor license are: Convention show booth tenants where products are sold; seminars where products are sold; out of state parades or special event participants.

utopYA, LLC recommends obtaining one. If you decide not to get one, that’s your choice, but you do so at your own risk. utopYA, LLC and the Hotel are not liable in the unlikely occurrence that we are visited by “the man.”
