In an effort to be more transparent with attendees and potential attendees of Utopia 2016 this year, I want to try and explain why we price our packages the way we do, and what they will be leading up to the big, five-year anniversary event. I may get this wrong. You may disagree. Hey, it’s all a work in progress, and I just want to shoot straight with all of you.
Without getting in to a detailed line-item budget, we price our conference the way we do for several reasons:
1. We try to be competitive with the marketplace. We don’t want to gouge our attendees — we know a lot of you are new to the scene and we want to make the convention affordable enough that you take the leap for yourself. We are by no means the most expensive con out there. Many of them are way more expensive than we are. I’m talking about cons now, not signing events that are roughly only a day long or so. Cons have educational panels and opportunities for advancement, not just fan meet and greet opps. We also know that we may not be the cheapest convention out there. However, we think we have proven our worth over the past four years, and have earned our place.
2. The ticket price and exhibitor booth costs make up roughly 50%, if even that much, of the total cost of pulling off a convention as big and full as Utopia. In addition to hotel fees — meeting space, room accommodations, catering, audio/visual needs, labor/set-up, etc. — we also have Utopia freelance staff that we pay, my own paycheck, the DJ, the event production, the t-shirts, the welcome bags, the posters, the swag, the graphic designs, the banners and signage, the web maintenance fees, public relations, ads, and so on, and so on. Again, no need to line item out every single expense, but I hope you get the idea. I also have very high standards for what I want you all to experience, which comes at a cost.
3. We want to be able to add value each year. We want to be able to bring you the best speakers, the best entertainment and opportunities, the best workshops and more that we can.
4. Prices increase for us, too. Plain and simple — we were in a recession, and it was cheaper a few years ago to book a con in Nashville. Now, Nashville is America’s little darling, and prices have increased. Nashville still isn’t as expensive as other cities, but costs for us have increased, as well.
Why do prices increase the closer we get to the event?
This is an age-old sales and marketing practice to get you, the consumer, to jump on the deal and commit when prices are at their lowest. It helps us make an educated guess of how many people will be there, and how much money we will have in the coffers to pay our expenses and bring you the best possible experience ever.
And, in case you were wondering — UtopYA has never made a profit…ever. Conventions (and businesses) like this take time to build, and with trial and error, we are learning more every year on how to make this a successful event for all of you and for all of us behind the scenes. It’s a tightrope walk sometimes. But the rewards are countless.

Exhibitor/Signing Spaces — Full refund for 60 days from purchase or until March 31, 2016, whichever comes first. Fifty percent (50%) refund after 60 days or until March 31st, 2016, whichever comes first. No refunds, transfers or exchanges allowed after March 31, 2016 for any reason.
Why do we only refund 50% of the exhibitor space after 60 days? 1. To avoid musical booths. 2. To get you to COME to Utopia. You want and need to be here, and we want you here. 3. When you book the limited space, you take it away from someone else who could’ve been here. The closer we get to the event, the harder it is for us to resell space to those who might have been able to come if they’d had the time to prepare earlier.
